Writing Dynamic Cover Letters

Regardless of whether you apply for a position via mail, e-mail or fax, you’ll need to write a cover letter to accompany your resume. Here’s a simple and straightforward process to create customized letters with impact:

First paragraph: Start your letter with an opening that immediately captures the reader’s attention. One of the most effective things you can do is mention something about the company. Taking time to read information on their web site – or do a bit of research – is a great way to demonstrate that you are sincerely interested in their work, products or services. Follow this with one dynamic sentence about what you have to offer. For example, Congratulations on the grant you just received from the Kellogg Foundation. I read about your innovative approach to helping female ex-offenders find employment. I would bring six years of experience as a counselor and case manager to the Program Manager position at Neponset Advocacy, Inc.

Second paragraph: In this paragraph you want to “paint a picture” that communicates the benefit of interviewing you. You accomplish this by providing an overview of your skills, expertise and educational background (if appropriate). Usually, two or three sentences are adequate.

Third paragraph: In this paragraph you want to highlight two to four specific accomplishments or projects. They must be relevant and directly related to the qualifications listed for the position. If you are changing careers, this is where you want to capitalize on your transferable skills. If, for example, the position is for a fundraising assistant and you have a background in sales and account management, use the terms and jargon appropriate to fundraising in the nonprofit sector.

Final paragraph: This paragraph accomplishes three things: (1) states that your resume is enclosed; (2) conveys action that you will take; and (3) thanks the reader. It is appropriate in this paragraph to mention where you saw the posting. Many HR offices track their responses. For example, you might close your letter with, Enclosed is my resume for your review for the Program Manager position listed in Opportunity NOCs New England on February 8. I welcome an opportunity to meet with you to discuss how my qualifications can meet your needs. I will call you the week of February 23 to follow-up. Thank you for your consideration.
